Storing System Guide

PrepFlow’s Storing System helps you efficiently organize and locate inventory in your warehouse using location tracking and internal barcodes.
It’s designed to make check-in and storage faster, more accurate, and fully traceable.

There are two main ways to assign storage locations to items — either by entering a manual location or by using PrepFlow’s internal barcode IDs.


1. Storing During Check-In or Record Creation

When a package arrives at the warehouse, you can assign a storage location as part of check-in or while creating a received record.

There are two ways to store an item during this process:

Option A — Enter a Location Manually

  • In the Location input field, type the name or code of the bin, rack, or shelf.
  • When the item is checked in or saved, the location will be linked to that item.

This is the simplest method — ideal for small operations or clearly labeled shelves.


Option B — Use Internal Barcode IDs

PrepFlow’s internal barcoding system lets you assign and track items using unique barcode IDs.

Steps:

  1. When creating the received record or checking in the order, click Generate Barcode ID.
  2. Print the barcode and attach it to the item or box.
  3. Then complete the check-in or record creation process.

These barcodes are critical for using the Storing Page workflow (see below).
They also allow quick scanning, searching, and error-free storage tracking.

💡 Tip: You can scan a barcode ID in the dashboard’s search bar to instantly open that item’s record — from any page.


2. Storing Items from the Storing Page

Once an item is checked in or a received record has been created, you’ll use the Storing Page to physically place it into storage.

How to Store Items

  1. Go to the Storing Page.
  2. Click Store Order (top-right corner).
  3. A pop-up window will appear with storing options.

In the Storing Pop-Up

  1. Scan the item’s barcode ID using a barcode scanner.
    • This identifies which item you’re storing.
  2. Scan the bin or shelf barcode where the item is being stored.
    • This links the item to the correct warehouse location.
  3. Enter the quantity of items you’re placing in that location.
  4. Click Confirm Storing.

The location will be automatically added to the item’s record, updating your warehouse map and inventory tracking.

Result: The item is now fully stored, searchable by barcode or location, and visible in your inventory logs.


3. Setting Up Bin and Shelf Barcodes

To make the system work smoothly, each bin, shelf, or rack in your warehouse should have a scannable barcode label that corresponds to its location text, not a random ID.

For example:

  • Location name: Aisle-3-Bin-12
  • Barcode text: Aisle-3-Bin-12

When scanned, the system reads the location name exactly as it appears in your PrepFlow setup.

Creating Bin Barcodes

PrepFlow doesn’t generate bin barcodes automatically, but you can easily create them using any free online barcode generator.
Just enter your location names as the barcode text and print the labels.

💡 Tip: Use durable barcode labels for long-term scanning accuracy, especially in high-traffic or temperature-variable warehouse areas.


4. Workflow Advantages

The storing system is designed for speed and efficiency — especially for prep centers that handle high inbound volume.

    You can check in many orders quickly at a receiving station without worrying about their final storage spots.
  • Deferred Storage:
    Load items onto a cart and store them later when free locations are identified — perfect for dynamic warehouse environments.
  • Location Flexibility:
    You don’t need to memorize locations or pre-assign bins; just scan available ones during storing.
  • Instant Lookup:
    Scan any internal barcode ID to instantly find that item, its client, and its storage details from anywhere in the dashboard.

Example Workflow:

  1. Check in 20 items at the receiving station → generate barcode IDs
  2. Place items on a cart
  3. Walk to free bins → scan item barcodes, then scan bin barcodes
  4. Quantities and locations update automatically in PrepFlow
