Shipping Labels

PrepFlow offers labels through our own carrier connections. In many cases we’ve seen rates come in cheaper than Pirate Ship, but this is not guaranteed — final price depends on the service level and box details (dimensions, weight, zones). As our total volume grows, negotiated rates should continue to improve over time.


1) Maintaining a Balance

The Shipping Labels page is where admins manage funds, upcharges, and label history.

Add Funds

Admins can add money to the account balance via:

  • Stripeinstant crediting
  • ACH depositmay take up to 24 hours to post to your balance

Once posted, funds are available to purchase labels from any eligible workflow.

Processing times

Stripe payments are credited instantly. ACH deposits can take up to 24 hours to appear in your balance depending on bank processing times.

What You Can See on the Page

  • Remaining account balance
  • Total labels purchased (counts and spend)
  • All label transactions (per-label entries with date, service, cost, surcharge if any)
  • All deposits you’ve made (method, amount, timestamp)

Upcharge (Label Margin)

Admins can configure an Upcharge % (e.g., 5–15%).
When set, the client-facing label price becomes: client price = (carrier cost) × (1 + upcharge %)

This lets you add margin on labels for invoices.

Withdrawals

If you need to withdraw deposited funds, contact Support.
(Withdrawals aren’t self-serve to prevent accidental fund drains that could interrupt operations.)


2) Purchasing Shipping Labels

Currently, label purchasing is available for FBA and Manual shipments.

FBA Shipments

You can buy labels during the FBA workflow:

  1. In the Placement Options stage, click Generate Label Rates to see available services and costs for the configured boxes.
  2. Review rates and Purchase Labels for the boxes.
  3. You can also purchase labels after confirming a placement option, if you prefer to finalize placement first.

Benefits

Tracking numbers are automatically added to every box and sent to Seller Central, saving you time. Labels are also printed the same as partnered carrier labels: Box Label 1, Shipping Label 1, Box Label 2, Shipping Label 2, etc.

Manual Shipments

To purchase labels for manual shipments, ensure the client request is set up correctly:

Client request requirements

  • Shipping method: Warehouse
  • Recipient address: must be provided at request time

Admin flow

  1. Open the shipment pop-up — destination address should be visible.
  2. Select boxes / shipping supplies (enter dimensions, counts).
  3. Click Purchase Labels.
  4. Enter weightrequired to generate rates.
  5. Click Generate Rates, pick a service, and Purchase Label.

Box weight is mandatory for rate generation; dimensions are needed for most services. Missing any of these will block rates.


Auditing & Reconciliation

  • Every purchased label creates a transaction in your Shipping Labels ledger.
  • Deposits (Stripe/ACH) and Upcharge settings are auditable via the same page.
  • Clients see the upcharged label amount in their billing.

Summary

  • Fund your balance via Stripe (instant) or ACH (up to 24h).
  • Set an Upcharge % to add margin on labels and pass the adjusted price to clients.
  • Buy labels in FBA (during or after placement confirmation) and Manual shipments (Warehouse method + recipient address required).
  • Audit everything from the Shipping Labels page — balance, labels, deposits, and upcharge configuration.
