Client Onboarding Guide
Once your prep center’s PrepFlow system is set up, the next step is to onboard your clients so they can start creating inbound shipments, tracking inventory, and managing fulfillment through your dashboard.
PrepFlow offers two ways to onboard clients — via a sign-up link or email invitation — giving you flexibility depending on how you prefer to manage access.
1. Onboarding via Sign-Up Link
The simplest way to onboard clients is to send them your public sign-up link.
Your client sign-up URL follows this format:
https://dashboard.yourdomain.com/signup
Replace yourdomain.com with your actual connected domain or subdomain (e.g., prepflowlabs.com).
When clients visit this link, they’ll see your branded sign-up page where they can:
- Enter their personal details
- Create a username and password
- Submit a registration request to join your dashboard
💡 Tip: You can share this link directly in onboarding emails or embed it in your website for easy client self-registration.
2. Onboarding via Email Invitation
If you prefer a more direct, controlled process, you can invite clients manually by email.
How to Invite a Client
- Go to Settings → Account
- Scroll down to the Client Invitations section
- Enter the client’s email address
- Click Send Invitation
The client will receive an email with a secure invitation link to join your PrepFlow dashboard and create their login credentials.
✉️ Tip: Use this method when you want to pre-screen or limit who can join your system (e.g., by invitation only).
3. Optional: Require Account Approval
For additional control, PrepFlow lets you require manual approval before new client accounts become active.
Enabling Account Approval
In your Settings → Account, you can enable the option:
“Require approval before accounts are created”
When this setting is turned on:
- Clients can still sign up via your link or invitation
- However, their account will remain pending approval until you approve it
Approving or Rejecting New Clients
When a new registration is waiting for approval:
- You’ll see a notice banner at the top of your Clients Page
- Click the banner to view pending registrations
- You can then approve or reject each client’s registration
Approving activates the client’s account immediately.
Rejecting removes the pending registration and prevents login.
⚙️ Best Practice: Keep approval turned on if you want to prevent unauthorized signups or vet clients before giving access to your system.
