Installation

Welcome to PrepFlow, the all-in-one management system for your prep center operations.
This guide will walk you through every step of setting up your account — from your first onboarding form to personalizing your dashboard.


1. Fill Out the Onboarding Form

To get started, head to prepflowlabs.com/prepcenter/onboard and complete the onboarding form.

This form gathers the essential details we need to configure your account, including:

  • Your prep center name and contact information
  • The email you’ll use for login
  • Preferred subdomain or domain (e.g. example.com dashboard.example.com)

Once submitted, we will begin creating your instance and send your DNS configuration to you.

Tip: Save your email address and password before submitting — they will be your credentials to access the dashboard.


2. Add Your Domain Records

After you receive your onboarding email, you’ll find a set of DNS records that need to be added to your domain registrar (e.g., GoDaddy, Cloudflare, Namecheap).

These records connect your custom domain to your PrepFlow portal.

Typical records include:

  • A CNAME record (to connect your custom subdomain to PrepFlow)
  • Optional TXT record for domain verification
  • Optional MX or SPF records for branded email delivery

Once you’ve added the records, it can take up to 24 hours for DNS changes to propagate globally.


3. Log In to Your Dashboard

Once your domain is connected, visit your dashboard using the link and credentials used in the onboarding form.

Once inside, you’ll see the main admin dashboard — this is your central hub for managing:

  • Client orders
  • Inventory and shipments
  • Billing and automation
  • Staff and role permissions
  • And everything else...

4. Go to the Settings Page

To access system configuration, click the ⚙️ Settings icon in the bottom-left corner of your dashboard.

This is where you control your prep center’s key settings:

  • Address
  • API keys
  • Notifications
  • Pricing & shipment settings

The only required fields are the address. If you do not wish to setup the Stripe system, please let us know so we can disable it.

Tip: Each tab in Settings is organized by category.


5. Add Your Prep Center Address & Stripe API Key

In the Settings → Account tab, add your full prep center address.
This ensures your labels, invoices, and shipments are properly branded.

If you plan to use Stripe to bill your clients, connect your Stripe account by adding your Stripe Restricted API key.

To do so:

  1. Go to dashboard.stripe.com/apikeys
  2. Create a new Restricted Key
  3. Select the option: Providing key to another website
  4. Paste it into the Stripe API Key field in your dashboard
  5. Save your changes

If you don't plan on using Stripe, let us know so we can disable the system.


6. Explore and Personalize Your System

With your core setup complete, explore the rest of the Settings section to fine-tune PrepFlow for your workflow.

You can customize:

  • User roles & permissions — control access for staff and managers
  • Notifications — choose which events trigger emails or dashboard alerts
  • Pricing — set your custom pricing per fulfillment type and client
  • Shipments — customize the settings for shipments such as MOQ

Spend some time familiarizing yourself with these features to make PrepFlow perfectly match your center’s operations.
