FBM Integration Guide
The FBM (Fulfilled by Merchant) Integration allows PrepFlow to automatically manage your clients’ active listings and fulfill orders without them ever having to touch inventory quantities in Seller Central.
PrepFlow syncs inventory, shipment creation, and tracking — giving your prep center a streamlined, automated workflow for merchant-fulfilled orders.
Getting Started
When FBM orders are checked into inventory, the sellable quantity is automatically added to the client’s listing in Seller Central.
This ensures that the listing reflects real-time stock available at your warehouse.
⚠️ Important: Clients should never manually change listing quantities for items managed through PrepFlow.
Doing so can cause overselling, miscounts, or shipment errors. PrepFlow continuously syncs these quantities automatically.
Initial Setup Notice
When clients first activate the FBM integration, they’ll receive an important setup notice explaining:
- What PrepFlow controls automatically
- What they should not modify in Seller Central
- That the prep center is not liable for any listing or shipment errors caused by incorrect client-side details (e.g., mismatched SKUs or ASINs)
This notice must be acknowledged before PrepFlow starts syncing listings.
Automatic Shipment Requests
When an item sells on Seller Central, PrepFlow automatically:
- Detects the sale
- Creates a requested shipment inside your dashboard
- Displays it in the Requested Shipments page under Worklist → Shipments
This eliminates the need for clients to manually request shipments for FBM orders — it’s all handled automatically.
Processing an FBM Shipment
Once an FBM shipment appears in your Requested Shipments list, follow these steps:
1. Open the Shipment
Open the requested shipment pop-up to review order details:
- Item(s) sold
- Quantity
- Buyer’s shipping address
- Any special order notes
2. Add Boxes
Add one or more boxes for the order:
- Define box dimensions and weight
- Optionally use preset boxes to speed up packing
- You can add internal notes or identifiers if needed for warehouse tracking
3. Purchase Shipping Labels
After boxes are defined, click Purchase Labels.
PrepFlow will:
- Generate carrier rates based on the weight and destination address
- Allow you to select the desired shipping service
- Automatically deduct label cost from your shipping balance (see Shipping Labels Guide)
Once purchased, you can download and print the shipping label directly from the shipment screen.
💡 Tip: Buying FBM labels through PrepFlow is faster and automatically attaches tracking information to Seller Central — saving time and eliminating manual data entry.
4. Ship & Sync
After packaging and labeling the order:
- Click Mark as Shipped
- PrepFlow automatically:
- Uploads the tracking number to Seller Central
- Marks the order as Shipped
- Updates your inventory count in real time
You don’t need to log in to Seller Central at all — everything is handled by PrepFlow.
